What an AI receptionist can and can’t do for a nail salon, what it really costs, and how it fits with online booking, reminders, walk-ins and technician turns.
The phone rings while every technician has a client’s hand in theirs. Someone at the front desk is checking in three walk-ins. By the time anyone can pick up, the caller has already tried the next salon on Google Maps.
AI receptionists promise to fix that. This guide covers how they work, what they cost, where they fall short in a nail salon, and when online booking and reminders already solve most of the problem.
An AI receptionist can answer calls 24/7, handle simple questions and, when connected to your booking system, schedule appointments. It does not replace walk-in check-in, technician turn rotation, checkout or payroll. Many small salons get most of the benefit from online booking plus reminders; busy salons that miss many calls may want to test a dedicated AI phone service on top.
An AI receptionist for nail salons is software that answers the salon’s phone with a natural-sounding voice, responds to common questions such as hours, prices and services, and, when connected to your scheduling system, can book or change appointments. It is meant to catch calls your team can’t answer, not to run the salon.
Depending on the provider and how it is set up, an AI receptionist can:
Capabilities vary by provider and integration. Some book directly into your calendar during the call; others only text a booking link or take a message; some handle text and chat but not calls. Check what a product does with your booking software.
Nail salons miss calls for practical reasons, not carelessness:
Imagine a salon misses 5 calls a day. If 40% of those callers would have booked, and the average ticket is $55, over 26 business days:
This hypothetical shows how to run the math with your own numbers. It is not guaranteed lost revenue: some callers call back, book online or walk in, and some calls are spam. Count your real missed calls for two weeks before paying for a fix.
Most AI receptionists use call forwarding. You keep your salon number, and calls are forwarded to the AI either all the time, only when nobody picks up, or only after hours. A typical booking call looks like this:
These three options solve different parts of the problem. Many salons combine them.
| Factor | AI receptionist | Human receptionist | Online booking |
|---|---|---|---|
| Availability | 24/7 | Shift hours only | 24/7 |
| Typical monthly cost | About $0–$300+ plus usage (see pricing below) | Wages plus payroll costs; live answering services from about $250/month | Often included in salon software |
| Answers phone calls | Yes | Yes, one at a time | No |
| Books appointments | Only if integrated with your scheduler | Yes | Yes, the client books |
| Complex requests | Limited; hands off to staff | Strong | Limited to the options you set up |
| Personal service | Consistent but scripted | Highest; knows regulars | Self-service |
| Language support | Varies; many offer English and Spanish, fewer offer Vietnamese | Depends on who you hire | Depends on the booking page |
| Integration needed | Phone forwarding plus a calendar connection | Training on your system | Built into your salon software |
| Main limitation | Errors if services, durations or rules are set up wrong | Cost, sick days, turnover | Doesn’t help callers or walk-ins |
An AI receptionist is a phone layer. It does not replace a complete POS or salon management system: something still has to hold the calendar, check clients in, take payment, track tips and calculate technician pay.
Published AI receptionist prices we checked range from free starter tiers to about $300 per month, before usage charges. Most plans limit calls, minutes or unique callers, then charge for extra usage, so a busy salon’s real bill can be higher than the headline price.
| Provider | Published price | What’s included / extra usage | Notes |
|---|---|---|---|
| Smith.ai AI Receptionist | Free; Pro from $150/mo; Enterprise from $500/mo | Free: 25 calls/mo, then $3.00/call. Pro: 75 calls at $150. | Month-to-month, 30 days’ notice to cancel. English and Spanish. |
| Goodcall | $79, $129 or $299/mo | 100, 500 or 2,000 unique callers; extra callers 79¢, 26¢ or 15¢ each | Month-to-month; includes a local phone number. |
| Frontdesk (My AI Front Desk) | $99/mo, or $79/mo billed annually | 200 voice minutes; then $0.25/minute | Lists 20+ languages; no contract. |
| Boulevard (Beau) | $125/mo per location | 200 minutes; then $0.60/minute | For Boulevard customers. |
| Mangomint (Mira) | $300/mo | Calls and texts | Mangomint customers only. |
| GlossGenius (Reception) | Free for now | Calls and texts | GlossGenius says it will become a paid add-on; no price published. |
| Ruby (live human receptionists) | $250–$1,725/mo | 50 to 500 receptionist minutes | For comparison: people, not AI. |
Prices checked November 7, 2026 on each provider’s public pricing or product page. Prices change often; confirm before you buy. Astra POS has no affiliation with these companies.
For comparison, the U.S. Bureau of Labor Statistics reports a median wage of $17.90 an hour for receptionists (May 2024). At 40 hours a week that is roughly $3,100 a month in wages before payroll taxes or benefits.
When you compare quotes, ask about each of these costs:
Providers that don’t publish prices require a quote; get it in writing.

Not by themselves. An AI receptionist mainly helps you capture bookings. Reducing no-shows depends on what happens after the booking: confirmations, reminders, an easy way to cancel, and a clear policy.
Separate the jobs involved:
Reminders are the part with the strongest evidence. A Cochrane review of randomized trials in healthcare found text-message reminders improved attendance compared with no reminders, and worked about as well as phone-call reminders at lower cost. Salons are not clinics, but the idea of reminding people before they forget carries over.
Practical steps: send a confirmation at booking and a reminder about 24 hours before, let clients reply or tap a link to reschedule, and consider a deposit for long services. Our guides to appointment text reminders, reducing no-shows and a nail salon deposit policy template cover the details. Text reminders need the client’s consent and an easy way to opt out.
Most AI receptionist guides are written for salons where nearly every visit is booked. In many nail salons, walk-ins are a big share of the day, and the front desk’s hardest job is deciding who serves whom, fairly and quickly.
A phone AI doesn’t see any of that. It can tell a caller “we take walk-ins,” but it can’t manage:
That is why a nail salon still needs a management system even if it adds an AI receptionist. For more on these workflows, see technician turn management, nail salon walk-in management and the salon customer check-in process.
To be clear up front: Astra POS does not currently offer an AI phone receptionist. It does not answer calls with AI. What it does is automate the salon workflows around the phone call, so fewer calls are needed and the ones you do take are faster to handle.
Astra POS is a salon management and POS system built with nail salons in mind. Features depend on your plan (see current pricing):
All of this is conventional automation: rules and workflows you control, not AI. Plans range from $0 to $161.10 per month, and support is available in English, Vietnamese and Spanish. If you also want AI phone answering, you would use a separate provider; ask any AI receptionist vendor whether it can connect to your booking system before you buy.
It depends on how many calls you miss and how many of them are bookings. Rough guidance by salon size:
Start with online booking on Google and Instagram, plus confirmations and reminders. If you still miss calls, try a free or low-cost tier with after-hours forwarding only.
Measure missed calls for two weeks. If you regularly miss several a day during peak hours, an AI receptionist for overflow and after-hours calls may pay for itself. Make sure it books into your calendar, not just takes messages.
Call volume is high enough that phone coverage matters. Many large salons keep a person at the front desk for walk-ins and turns and use AI for overflow, after-hours and simple questions.
Online booking and reminders may be enough if most callers just want to book, your clients are comfortable booking online, and you miss only a few calls a day.
A dedicated AI phone service is worth testing if you count many missed calls, many clients prefer to call, or you get a lot of after-hours calls.
There is no single best AI receptionist for every nail salon. Use this checklist when you compare options, and test with real calls during a trial.
Also tell callers they are speaking with an automated assistant, and check that the tool only makes outbound calls with proper consent. The FCC has confirmed that AI-generated voices count as “artificial” voices under federal robocall rules.
There is no single best choice. Look for one that books directly into your salon software, speaks your clients’ languages, transfers to staff, and stays affordable in your busiest month. Test it with real calls.
Yes. Using call forwarding from your existing number, an AI receptionist can answer 24/7, handle common questions and take messages. Quality depends on setup, accents and background noise.
Only if it is connected to your scheduling software. Otherwise it can usually just take a message or text a booking link.
Published prices we checked in November 2026 range from free tiers to about $300 per month, plus usage charges. Live human answering starts around $250 per month.
Some can, but fewer providers list Vietnamese than Spanish. Test with native speakers before committing.
No. It can tell callers you take walk-ins, but check-in, wait times and turn-based technician assignment happen at the front desk through your POS.
Usually not. Your front desk also greets clients, runs walk-ins and turns, and handles checkout. AI fits best for overflow and after-hours calls.
No. Astra POS does not currently offer an AI phone receptionist and does not answer calls with AI. It provides online appointment booking, an appointment calendar, tablet check-in, technician turn management, customer history, payroll and commission tracking, loyalty, and SMS messaging where enabled, depending on your plan.
Evidence from healthcare says yes: a Cochrane review found text reminders improved attendance versus no reminders. Send a confirmation plus a reminder about a day before.
Many don’t. Online booking and reminders may be enough if you miss only a few calls a day. If you miss many, try a low-cost trial.
